Automatically importing One Stop Order Processing Orders (Custom import format)

This feature is available in Professional, Premium and Enterprise versions of One Stop Order Processing

You can automatically import orders in the OSOP using Automation for One Stop Order Processing. You can also click the Import button to import orders from a remote location.

You can import information that has been exported from One Stop Order Processing (using the OSOPExport view) or another application that can export a single CSV order information file (e.g. Excel).

If you tick the Update information in existing orders option on the main page you can import information into existing orders. This can be useful for adding order tracking or other information from external systems. See the Advanced Import section for more details.



Order file
The file to import either a local PC file or a remote file.

Remote file
If this is a remote file (i.e. the Get file from remote server (e.g. internet site) is ticked) you can use wild cards (for example *.csv). If you use a wilcard, the first file that matches the criteria is downloaded. If you are using this approach you should also tick the Remove file after downloading button. For example, if you have a website that produces daily order files (e.g. 271013orders.csv and 281013orders.csv) you can use *.csv. This will download and load orders automatically.

If it is a remote file this should also include the path from the FTP root. This may be different from the website location. If you are unsure you can use the Test retrieving order file button to see if the folder is valid.

Local file
If it is a local file it should also include the drive and folder (e.g. C:\download\orders.csv).

Get file from remote server (e.g. internet site)
Tick this option to retrieve the orders file from a remote server that is running on a FTP server (on port 21).

Remote server
The remote server / host to retrieve the file from. This can be a website address or IP address.

Use passive FTP
If the server requires passive FTP support you can tick this option.

Port
The port to connect to the FTP server on. By default this is normally port 21.

Timeout
When the remote website is checked for files it can wait for a defined number of seconds before giving up. It is good to keep this to a small mumber (30 seconds) when you are setting up the connection, just incase the server name or other details are wrong.

Remove file after downloading
When you have downloaded an orders file you can remove it from the server. This should be ticked if you are importing files using a wildcard (e.g. *.csv) otherwise the same file may be imported each time.

Username
The username to use for the FTP login.

Password
The password to use for the FTP login.

Test retrieving order file
When you are setting the connection up you should click on this button to make sure the file can be retrieved. Any errors found are shown. If you have ticked Remove file after downloading the file will not be removed when testing (i.e. clicking on this button).


Other Information

Import file format
The import file is a standard CSV (Comma Separated Value) file. The first line contains the field names separated by a comma (,). Each subsequent line contains values for those fields, each value being separated by a comma (,). Microsoft Excel can export information as a CSV file. You can create a template (example CSV file) by using the One Stop Order Processing OSOPExport view and exporting an order.

The order import file can contain any of the fields described below, in any order. If you do not know any of the information for a field don't include the field in the file to import. Any information not supplied is defaulted from the other information supplied. This is described below.

Minimum requirements for an import file
You must have at least 1 of the red fields and 1 of the green fields in your import file to create a valid One Stop Order Processing order.

Including orders with more than 1 item
If there is more than 1 item per order you must include a value for
Order ID (the first value). Order lines with the same Order ID are imported into the same order. The first line in a group of order lines contains the main order details. The subsequent order lines contain details for the other order's items (and read from the Item ID, Item title, SKU, Item quantity, Item price, Item tax, Item P&P, Item P&P tax, Item total, VAT rate, Item weight fields).

Item Message Item message. This can be used as the gift message for this order line.

SKU Your own part number of item (e.g. IL1) Item ID then Item title

Item P&P This item's postage and packing. The total P&P is the total of all the items' P&P, unless this field is left empty and the main P&P field is used (e.g. 0.55)
Item P&P tax This item's postage and packing tax (e.g. 0.10) Can be calculated from Item price if you use the adjust orders to split VAT out in the import options. The tax (VAT) rate is taken from the VAT rate used in the import options is used.
Item total Total cost of item(s), quantity * Item price (e.g. £50) Item price * Item quantity

Advanced Import

To import information into existing orders you only need to include the Order ID and the required information (e.g. Delivery Instructions). You can not include an order's item details (e.g. product codes), but you can include all other order details (including Custom Entered values). An example of a CSV is shown below. This can be edited in Microsoft Excel and exported as a CSV file.
